Associations Overview
What is an Association?
An Association is a sub-group of customers within Capitan. Common Associations are Schools, Non-Profit Partners and Corporate Partners. Currently, Associations may receive different discounts automatically. In future releases, Association Managers can also purchase Entry Passes and/or Memberships for a large group of Customers and receive donated Entry Passes from other Customers in your Organization.
Why would you setup an Association?
- Automatic Discounts (Corporate rates, scholarships, student discounts, etc., on select Memberships, Entry Passes and Events).
- (Coming Soon) Sharing Entry Passes across an Association (e.g., a School Group that brings a different group of kids each week).
- (Coming Soon) Purchasing Memberships/Entry Passes for Association Members by an Association Manager (e.g., a HR manager can buy memberships to your organization directly for their employees).
Types of Associations to consider for your organization:
- Non-Profit/Community Partners:
- Provide discounts to non-profit partners in the area.
- (Coming Soon) Allow other customers in your organization to donate Entry Passes to designated Non-Profits/Community Partners.
- Scholarship Recipients:
- To increase accessibility in climbing, provide select customers added to a Scholarship Association with full discounts on select memberships or entry passes.
- Corporate Partners:
- Offer membership discounts to large companies in the area.
- (Coming Soon) Allow companies to pay directly for employees' Memberships as part of their wellness programs.
- Community Partners:
- Offer discounts to apartment buildings, run clubs, etc. to enhance ties with the community and bring in new business.
- Schools/Universities:
- Offer student discounts directly through the schools and universities in your area.
- (Coming Soon) Share Entry Passes across a school group that brings in different kids each week.

Association FAQs
How can I add a customer to an Association?
You can add customers to an Association in the following ways:
- On the Association Profile: Navigate to the Association's profile and select "Add Association Member" to add any customer already in Capitan.
- On the Customer's Profile: On a Customer's Profile on the the right side bar, scroll to the Association section to add the customer to or remove the customer from an Association.
- Bulk Add on the Association Profile (Coming Soon) - For larger partnerships, you can upload a CSV to quickly bulk add multiple customers to an Association. The CSV must include the following: First Name, Last Name and Birthday. Email address is optional. If customers added to an Association match customers already in Capitan, they will be linked to their existing profile. All customers that do not match a customer already in Capitan will have a profile created for them.
How can Association Members receive automatic discounts?
To add a discount to an Association, follow these steps:
- First configure the discount under Membership Discounts, Entry Pass Discounts or Event Discounts depending on the type of discount you want to provide.
- Set the Discount Type to "Automatic".
- By default, a discount can be used by all customers. To have the discount automatically apply to an Association(s), change the "Who does this discount apply to?" To "Select Associations". This will display a list of all Associations within your Organization so you can select which Associations will receive the discount.
- When an Association member goes to purchase a Membership, Entry Pass or Event with an eligible Association discount, it will automatically be applied. Note: To receive the discount, all customers on the purchase must be Association Members. If one member in a group membership, or one participant in a multiple-participant booking, is not an Association Member, then the discount may not be used.
