Capitan Release Notes - August 7, 2023

Scheduled Events on the Staff Site got a refresh.

Capitan is currently building out additional event features to help with youth programming, private events, and other classes/programs. As part of this effort, you will notice the Scheduled Events page looks a bit different. Each individual event now has its own dedicated page which can be viewed when selecting "Open" next to the Date/Time of the event.

Waitlists are now live!

Knowledge Base Article - Creating and Managing Waitlists

You can now create a Waitlist on Capitan! There are a few reasons why we are very excited about waitlists:

  • Automated waitlists increase the chance of running events at full capacity. More people booking onto an event means more revenue for your organization.
  • Waitlists let you gauge additional interest for your events, to let you know if you should offer them more frequently. Long waitlists indicate it may be worth adding more classes.
  • Waitlists offer a low risk way of gauging interest for a potential event. Set an event's capacity to "0" to make it waitlist-only and see how many people actually are interested in the event before committing to offering and staffing it.

Automatically check customers into the facility when checking them into an event

There is a new option to automatically check customers into the facility when checking them into an event.

If this is not selected, a customer may be checked into the event without being checked into the facility. This means that their waiver will not be checked and their entry method will not be used (if entry is not included with the booking).

If a customer is successfully checked-in, an alert will appear in the top right corner. If a customer is not successfully checked-in, a pop-up will appear with the appropriate warnings.

Climber App event scheduling got a refresh

To make it easier for customers to book events, we have updated the Book Sessions & Events page on the Climber App.

The default view will now show all of the events in the coming week, as well as a calendar where customers can see which days have events over the next year, and filters to choose the particular events or event categories they want to see (Event Categories can be configured here). Customers will also be able to see the instructor(s) of the upcoming events and their remaining capacity.

Please note, we have left the old scheduling pages up, so any links in your emails, on your website, etc will still work.

Non-US Based Customers: Update to Selling Recurring Memberships via Stripe Terminal on the Staff Site

There is a change to how recurring memberships are sold for all non-US organizations using the Stripe Terminal.

This only impacts recurring memberships sold using a Stripe Terminal for customers outside of the US.

Stripe outside of the US has a different process for saving recurring payment methods. This was causing occasional problems where the payment for the membership was delayed going through and showing as "canceled", causing staff to retry the payment. The payment was not actually canceled, so the customer ended up being billed twice.
To mitigate this issue, there is a new process for selling a recurring membership from the Staff Site that has just gone into effect.
To sell a recurring membership, follow these steps:
  1. Go through the same process on the Staff Site of selecting the customer and membership type to purchase.
  2. When you get to the page to select your payment method, select "Save New Card with Card Reader". This will allow the customer to tap, swipe or insert their card to be saved to their account. There is an alert on the screen to make the transition easier which reads "Once the card has been saved, you will be returned to the membership payment screen, where you can select the newly-saved card."
  3. There is a new step to complete the transaction. Once the card is saved, it will bring you back to the Membership Payment Details page. The new card will be the default option for the "Pay Using Saved Payment Method" button, which must be selected to charge the new card and set up the membership for recurring billing.

Please note, this will not impact other products sold through the Staff Site (entry passes, events and prepaid memberships) or any other payment methods.
