Capitan Release Notes - February 1, 2024
Membership Conversion Rate Report
This report will help track how successful your prepaid memberships, events and entry passes are at generating recurring members.
Report Time Range: For the purposes of this report, product "use" occurs when a prepaid membership ends, an entry pass is used for check-in, or an event is checked into (only the last part counts if the event is multi-part). This is set with the Report Time Range. The report defaults to end 30 days in the past as the earliest conversion Capitan tracks is 30 days after the use of the product.
Report Parameters:
- Selecting a Product Type will report conversion rates for customers who used that product in the defined Report Time Range.
- The Conversion Window options determine how the conversion is calculated. In order to be considered "converted", a customer must have an active membership a certain amount of time after they used the selected Product Type. The Conversion Window selects that amount of time.
Note: This report requires a significant amount of backfilling information so we are doing it in a staggered fashion as to not cause performance issues. We will email your organization when the information has been backfilled for your organization so you can begin using the report.
Automatically adding a customer to an Association after attending an event
After a customer successfully completes a Challenge, they can be automatically added to an Association.
This is configured on the Challenge's configuration page.
Automatically adding a customer to an Association after attending an event
Organizations can now offer targeted offers for participants after attending an event. This can help organizations do everything from attracting new members with offers geared towards customers in introductory courses, to increasing birthday party referrals as another way of getting young customers involved with climbing.
This is set on an Association's configure page.
Automatically adding a customer to an Association after using a guest pass.
Referrals are the best way for organizations to attract new members, and organizations can now create targeted offers to increase the rate of conversion with customers that check in using a guest pass.
This is set on an Association's configure page.
Automatically adding a customer to an Association after a specific entry pass is used.
Most people that come into a climbing gym will not purchase a membership. Organizations can now offer targeted offers for participants after they visit on a select entry pass to increase conversion. Many gyms already manually allow customers to “apply” the value of a day pass towards a membership. Now gyms can automate that process and allow customers to cash in on the offer even after they have left the gym.
This is set on an Association's configure page.
Bulk adding customers to an Association
Organizations can now work with community or corporate partners to tailor offers to their group and easily manage a large number of customers. For example, an organization may offer a local business 25% off the first month to all employees, after receiving a list of their employees.
This is done on the Association's profile page.
To bulk upload association members, download the spreadsheet template specified and add a row for each member.
If an association member does not have a customer account in Capitan, one will be created for them. If they already have a Capitan account with an associated email address they will keep their Capitan email address, and the email address in the spreadsheet will not be used.
Voucher packs
Organizations may now sell Voucher Packs to customers to incentivize bulk purchases of specific Event Types of Categories. For example, a 10 Voucher Pack for Private Coaching Sessions or 4 Weeks of Summer Camp. When configuring a Voucher Pack, you can set if the Voucher is applied to a single Event Type or Event Category (with multiple Event Types).
Once a customer purchases Event Vouchers, they can then use them to book the appropriate events and in lieu of paying again will be able to use their Vouchers.
Note: Voucher Packs have their own Accounting configuration and we highly recommend configuring it under your Accounting Connection before you begin selling them.
Custom prepaid membership length
When configuring a prepaid membership, organizations may now set a custom length of any combination of years, months and/or days.
