Reports
Reports: filter by relative date ranges like "last month"
Report date filters used to let you choose only a fixed start and end date. That made saved views and emailed reports awkward for anything you review on a regular schedule, since the dates stayed frozen in the past. You can now filter a report's date range by a relative range instead, such as the last 7 days or the last month, so a saved view or a scheduled email always covers the right window each time it runs.
When you open a date range filter, you'll now see three choices: No filter, Relative date range, or Fixed date range. A relative range lets you pick an option such as Last 7 days, This month, or Last month; a fixed range works the same as before, with specific start and end dates.
This works across your reports that have a date range filter, including Customers, Check-Ins, Payments, Bookings, and Memberships.
Organization-wide default report views
Saved views let you tailor the columns and filters on a report. Until now, each staff member had to select the view they wanted every time they opened a report, even when the whole gym wanted the same one on a shared front-desk computer. You can now set an organization-wide default view for any report that supports saved views, so everyone starts from the same view automatically.
To set one, open the Saved Views for a report, choose Set Organization Default, and pick which saved view should be the default (or choose to have no organization default). If a staff member has set their own default view, it still takes precedence over the organization default. Setting the organization default requires organization admin permission.
Redemption Codes report: filter and export by location
The Redemption Codes report can now be filtered by the location where a code was redeemed, which is useful if you track redemptions per location. Applying the location filter shows redeemed codes, the same way the redeemed-date filter does. The redemption location is the logged-in staff member's location if a staff member processed the redemption, or otherwise the home location of the member who redeemed the code. You can also add the redemption location, by name and ID, to the report's columns and exports.
Memberships & discounts
New membership Details view
Some useful membership information wasn't easy to reach from a member's profile, including which terms and conditions they agreed to when they signed up. There's now a Details button next to Edit in the Memberships list on a customer's profile, and next to Manage in the Roster Members report. Opening it shows details for that membership, including when it was first purchased, its original start date, how much has been paid toward it in total (and how much has been refunded, if any), and the terms and conditions the member agreed to at purchase. If no terms were agreed to, for example on a migrated or benefit membership, or one purchased before terms were configured, the view says so and explains why.
Climber App: manage a linked member's membership
When a child's membership is owned by the child's own account rather than a parent's, parents and guardians previously couldn't manage it. Now any account linked to the membership owner can manage that membership in the Climber App. A linked member's memberships appear in the My Memberships & Passes list with the owner clearly noted, even when they aren't owned by or assigned to the account that's signed in. If a linked member's payment fails, the payment failure notice now also goes to their linked parent or guardian accounts, not only to the membership owner.
Re-engagement discounts now work on recurring bills
The membership discount setting for a minimum number of days without a membership can now be used with recurring discounts, not just one-time charges. This lets you run a win-back promotion for former members that applies to their recurring bills, not only their first payment. As with other recurring discount conditions, a membership keeps the discount only if the initial purchase used it and every bill since has used it; if it ever misses the discount, it stops qualifying. This is set per discount, and existing discounts are unaffected unless you turn the setting on.
Events & bookings
Climber App: booking hold timer
When a member is booking an event, their spot is held while they check out, but the booking is cancelled if they don't finish paying in time. The Climber App now shows a clear message as the member moves through checkout, letting them know their spot is held and that it will be released if the booking isn't completed in time. This makes it less likely a member will lose their spot by leaving checkout half-finished.
Staff can bypass required documents when booking for a member
When your staff book an event for a member from the Climber App, the member isn't there to fill out any required documents such as a participant agreement or waiver, which could block the booking. Staff now have the option to bypass a required document in this situation. The bypass is clearly labeled, and each use is recorded in the activity log for your records. This option only appears when a staff member is signed in; members using the Climber App on their own don't see it.
Climber App: staff can see which member's account they're using
When a staff user works in the Climber App on behalf of a customer, it wasn't always obvious whose account they were acting under, which occasionally caused confusion, such as when completing payment on a deposit booking. A banner now appears at the top of each Climber App page showing which customer the staff account is currently acting on behalf of.
Payments, receipts & documents
Payment method now shown on receipts and in billing history
Payments could be confusing when more than one method was involved, such as account credit applied to part of a recurring membership bill alongside a card. Membership payment receipt emails, for both initial and recurring payments, now show which payment method was used, and when more than one method applied, how much was paid by each. In the Climber App, the Billing History list now shows the payment method for each payment as well.
Retire a document template
You can now retire a document template you no longer use, instead of leaving it in your active list. Retiring a template hides it from the Document Templates page, from the templates available when signing documents in the Climber App or Staff Site, and from document settings such as event type participant agreements. Existing data is kept: retired templates remain available for historical reporting, and you can view or restore them later. To retire a template, open it in the Document Templates admin and use the Retire button, then confirm. To see retired templates, switch the status selector on the Document Templates page from Active to Retired, where a Restore button is available.
Integrations & API
New Mailchimp events for membership purchases
If you use the Mailchimp integration, membership purchases now send events to Mailchimp that you can use to trigger marketing journeys. An event for the person who purchased the membership and an event for the member or members it was for are always sent. You can also turn on optional custom events per membership type from the Mailchimp Tags and Events section of a membership's settings. That section now also lists the automatic tags and events at the top for reference. New Mailchimp events for entry pass and voucher pack purchases
Along the same lines, entry pass and voucher pack purchases now send Mailchimp events too, split between the purchaser and the recipient, with both automatic events and optional custom events you can configure per product.
New webhook: "payment completed"
For gyms that build their own integrations, there's a new "payment completed" webhook event you can configure to fire whenever a payment is completed, including payments synced from a connected point-of-sale integration. The event includes detailed information about the payment and its invoice, such as the invoice status after payment (so you can tell a deposit from a fully paid invoice), the payment amount and the invoice total, the payment method, information about the member who paid, and the full list of line items purchased. The API documentation has been updated with the new event.
Fixes
- Proficiencies can no longer expire the moment they're added. A proficiency set to expire after a period without check-ins could expire the moment it was added if the customer had no recent check-ins, making it look as though the proficiency never applied. Adding the proficiency now counts as a check-in for that setting, so it won't expire until at least the configured amount of time has passed.
- Overflowing text in document PDFs is now fully visible. Longer answers a member typed into a document, such as medical notes or paragraph and short-text fields, could be cut off in the generated PDF. These now wrap and expand so the full text always shows. Affected documents from the past year are being regenerated.
- Events with a scheduled booking-open time now appear on time in the Climber App. When an event's booking was set to open at a specific date and time, the event could stay hidden from the Climber App calendar and event listings until its own start time of day, even though booking was already open. Events now appear as soon as their configured booking-open time is reached, calculated in each location's time zone.
- Gift purchases now report the "view item" event to GA4 and Meta Pixel. Gift purchases were the only Climber App purchases missing this analytics event. Every gift type, including gift cards, gifted memberships, passes, and voucher packs, now sends it like the others.
