Chart Assistant

The Chart Assistant is a conversational way to build and edit charts in the Chart Builder: describe what you want to see, and it proposes a chart using the same metric types and filters documented in Chart Builder: Metric Types Explained. It doesn't replace the Chart Builder, it drives it: every chart it proposes is something you could build by hand there, just assembled from a plain-language description instead of picked field by field.

Opening the Chart Assistant

With a chart open in the Chart Builder, click Chart Assistant among the buttons above the chart (alongside Save, Open, New, and Export). It opens as a panel beside your chart and holds one active conversation at a time. Use New chat to start over. The assistant won't carry anything forward from a closed conversation, so mention again any context it still needs.

Describing a chart

Type what you want in plain language and send it. The assistant replies in the panel and, when there's a chart to show for it, adds a Proposed chart card summarizing the metrics, date range, interval, and filters it's suggesting, plus, if you already had a chart open, exactly what would change. Nothing happens to your chart until you click Apply; if the result isn't right, Revert puts back what was there immediately before.

The chart on screen is included with every message, so you can iterate: "make that monthly," "split it by location," "hide everything except the average" all act on whatever you're already looking at, rather than starting over each time.

Example use cases: "Chart membership revenue by location for the last year." "Compare check-ins by entry method this quarter." "Take that chart and show it weekly instead of monthly."

What it understands about your reports

The assistant reads the same metric documentation and filter rules the Chart Builder itself enforces, so it gets a few things right that are easy to get wrong by hand:

  • Ask for "total members last year" and it won't sum twelve monthly counts: a membership count is a snapshot, not a flow, so adding twelve of them double-counts every membership that stuck around all year. It builds the chart the question actually calls for instead.
  • Ask it to segment by location for anything membership-related, and it uses the location a membership bills to, not a member's home location. The two can differ, and it's the same distinction Capitan's own membership reports use.
  • A retention or churn figure for a very recent period may come back with nothing plotted there. That's not an error. It's an outcome that hasn't had time to happen yet, and the assistant will say so rather than let the chart look finished when it isn't.

What it can and can't do

  • Its whole job is building and editing Chart Builder charts. It can't act anywhere else on the Staff Site, look anything up outside Capitan, or answer questions that aren't about your reports.
  • It's built from Capitan's own metric types and filters. See Chart Builder: Metric Types Explained. Anything the Chart Builder can plot, the assistant can plot; nothing more. If you ask for something Capitan doesn't measure, it says so rather than approximate an answer.
  • Every proposed chart is a suggestion, not a change. Check the Proposed chart card, and the resulting chart, before treating it as final, the same way you'd check anything else before relying on it, especially one you'll come back to later or share with someone else.
  • One conversation is open at a time. Starting New chat clears what the assistant remembers of the discussion; it has no effect on your chart.

What data it can see

Because this is an AI feature, it's worth being specific about what does and doesn't leave Capitan.

Every message goes through Capitan's own servers on its way to a third-party AI provider. Your browser never communicates with that provider directly. What Capitan sends it, for every conversation:

  • Your organization's own configuration: the names of your locations, membership types (including their pricing), entry passes, event types and categories, voucher packs, and add-on names. This is your product catalog, the same information any staff member sees while setting those products up, not your customers' records.
  • The requesting staff member's own name, role, and home location: whoever is using the Chart Assistant at the time, never any other staff member or customer.
  • Your organization's name, currency, and time zone, and today's date.
  • The chart currently on screen: its metric types and filters (its structure), plus whatever you type into the chat.

What it never receives: any customer record (no names, emails, payment details, documents, or check-in history) and no actual chart data. The numbers plotted on a chart are fetched by your browser directly from Capitan's own reporting systems once a proposal has been validated; the AI provider proposes a chart's shape and never sees or returns the values plotted on it.

Every proposal is checked against Capitan's own rules twice: once before it's shown to you, and again if you apply it. An unrecognized filter or an invented option is rejected rather than passed through. Conversations are stored in Capitan's own database, scoped to your organization like the rest of your account data.

Usage limits

Chart Assistant messages count against a monthly allowance shared across your whole team, 500 by default. The panel shows a note once you're most of the way through it for the month, and if your organization reaches the limit, the panel explains that plainly and picks back up at the start of the next calendar month. A single conversation is also capped at 30 replies; start a New chat to keep going past that.

Sending messages in very quick succession can trigger a brief "slow down" notice, a safeguard against accidental rapid-fire sending separate from the monthly allowance above.
