Dashboards
New: add tables to your dashboards
Previously, dashboards held only charts. They can now hold tables as well, so the tabular data you check alongside your numbers, such as recent payments, upcoming bookings, or unresolved inbox items, can sit on the same screen.
While editing a dashboard, an Add Table button appears next to Add Chart. Configuring a table works the same way as adding a table to an emailed report: pick a Report, optionally seed it with Copy from Saved View (including the Capitan Default view), then adjust its filters with Edit Filters and its columns with Select Columns. Two settings are specific to tables: Rows per Page and a Show pagination checkbox. With pagination on, the tile pages through the full result set; with it off, only the first page of rows is shown.
The dashboard's Time Range and Locations override controls apply to table tiles as well: each report is refiltered on its natural date (a payments table by payment date, a bookings table by event date) and its natural location. Not every report has a date or location to filter on, and a table whose report doesn't shows a small warning icon explaining that the filter doesn't apply, the same way chart tiles already flag metrics with no location breakdown.
Chart Builder
Compare a chart to earlier periods
Answering "is this better than last year?" used to mean building a second chart or exporting both periods to a spreadsheet. The Chart Builder's date range settings now include a Compare to option with three choices: None, Previous period, and Previous year, followed by a count of how many earlier periods to show, from one to three.
Each visible metric gains one overlaid series per comparison period, drawn dashed and progressively lighter in the metric's own color, with legend entries labeled by period, such as 2026, 2025, and 2024. Comparisons are calendar-aligned: Previous period compares this month against the prior calendar month, not the previous 30 days, and Previous year compares the same calendar span one year earlier. Hovering a point shows the actual dates and values for the current and each comparison period, along with each series' percent change against the most recent comparison period.
For a period still in progress, the percent change uses only the elapsed portion, so a year-to-date chart opened in August compares against January through August of last year, not the full year, while the comparison line still draws the whole period for context.
Comparison settings save with the chart and follow it into dashboards, shared links, and emailed chart reports.
Choose each metric's line color
Previously, Capitan assigned every chart line its color automatically. The color swatch next to each metric's name in the Chart Builder is now clickable: it opens a color picker offering the ten standard chart colors plus any custom color, and a Reset to the default color option puts the automatic choice back.
A chosen color applies immediately to the line, its legend entry, and its tooltips, and saves with the chart, so it holds in dashboards, shared links, and emailed chart report images. Existing charts look exactly as they did until someone picks a color. The Chart Assistant can also set colors, so "make the revenue line green" works.
New relative date range: Year to date
Year to date is a new option in the relative date range list, directly below This year. It covers January 1 of the current year through today and keeps re-resolving, so a chart set to it in March still reads January through today when reopened in August. This year is unchanged and still means the whole calendar year.
The option appears everywhere relative date ranges do: the Chart Builder, report filters, dashboard tiles, and emailed report configuration.
Reports
Check-in reports: filter by day of week
Planning staffing around questions like "how busy are our Sundays?" used to mean exporting check-ins and cross-referencing each date against a calendar. All three check-in reports can now isolate weekdays directly.
On Check-In History, the filters include a Day of Week checkbox group, and the report offers a Day of Week column, on screen and in the CSV export, so exported rows carry their weekday with them. On Check-In Counts and Unique Check-In Counts, a Report Days of Week card in the sidebar filters does the same for the charts: selecting Sunday charts only Sundays, at any interval, so a monthly chart of Sunday traffic is one filter away.
A check-in's weekday is worked out in your organization's local time zone, so a Friday evening check-in counts as Friday. The filter is also available on check-in metrics in the Chart Builder, dashboards, and emailed charts.
Membership Counts by Status: filter by billing location
The Membership Counts by Status report now has a Billing Locations filter in its sidebar, narrowing every series and column to memberships that bill to the locations you select. It applies to all three count types (memberships, members, and add-ons) and combines with the report's other filters.
The same filter is available on the Membership Count metric in the Chart Builder, which also means the dashboard Locations control now applies to Membership Count series instead of leaving them unfiltered.
The filter is point-in-time correct: for a past date, a membership counts under the location it billed to on that date, so moving a membership between locations does not rewrite history.

Customer Memberships report: see upfront payments
Memberships bought with an upfront payment option, where the customer pays for several billing periods at once, previously showed nothing about that in reporting. Three additions make upfront payments visible:
- The membership details view for an individual customer's membership shows a Paid upfront row, such as "12 periods", when the membership was purchased that way.
- The Customer Memberships and Members reports offer an Upfront Periods Paid column, available on screen, in CSV exports, in emailed reports, and in dashboard table tiles. It is blank for memberships not paid upfront.
- The Customer Memberships filters gain a Paid Upfront section with All, Paid upfront, and Not paid upfront, plus At Least and At Most bounds on the number of periods, so you can filter for "everyone who prepaid six or more periods".
Custom Inbox Items: saved views, emailed reports, and dashboard tiles
The Custom Inbox Items page previously stood outside Capitan's standard reporting tools. It now has them: saved views (personal and organization-wide, with defaults), a Configure Columns picker, an Export List CSV export, and a Created Date filter with the standard relative ranges. The available columns are Timestamp, Customer, Inbox, Status, Resolved At, and Resolved By.
Custom Inbox Items is also now a report type for emailed reports and for dashboard table tiles.
Bookings report: click through to the event
Each row of the Bookings report, including its dashboard tiles and emailed tables, now links the event name to that event's details page, so getting from a booking to its event no longer means finding the event on the calendar.
Customers
Customer profile: Upcoming Reservations and Bookings views
Previously, the Reservations tab on a customer's Staff Site profile answered only one question: which events is this customer a participant in? A booking they made for someone else, such as a parent booking their child into a class, was not visible there at all.
The tab now offers two views, selected at the top and carried in the page URL:
- Upcoming Reservations lists the customer's own reservations, soonest first, and is where the tab lands when opened. A Show past reservations option switches to the full history, most recent first, which is what the tab used to show.
- Bookings lists one row per event booking made by or for this customer, most recently booked first, with columns for Booked, Event, Event Date, Participants, Payment, and Amount Due. A booking made by someone else shows "by" and the booker's name under the booking date, so a parent-booked and a self-booked row are distinguishable at a glance, and the event name links to the event.
Bookings generated automatically by a roster membership are hidden unless you turn on Show bookings generated by a roster membership, and bookings cancelled for non-payment stay hidden by default in both views, so an abandoned checkout doesn't read as an outstanding balance.
An example: when a parent calls about paying off their child's class booking, the parent's Bookings view now shows that booking with its amount due, even though the parent isn't a participant.
Customer filters: match any or all associations and proficiencies
Previously, selecting several associations in the customer filters found only customers belonging to every one of them. Once you select associations, a new dropdown chooses between Match all of the selected associations and Match any of the selected associations, and the proficiencies section gains the same pair. "Any" finds customers matching at least one selection, which is what a question like "everyone in either of our youth teams" needs.
The mode is stored in saved views, emailed report filters, and shareable page URLs, and the active-filter summary spells it out, reading "Has any of these associations:" followed by the list. Everything saved before this release keeps behaving as "all", exactly as it did previously.
Events and payments
Event bookings: payment links that work without logging in
Previously, paying off a scheduled-event booking's balance online required logging in to the account that made the booking. That made it awkward to share the payment step: the link staff sent a parent or a group organizer stopped at a login page.
Every event booking now has a payment link that works without logging in, showing the booking's remaining balance and taking payment by card. The links Capitan already sends and shows switch to this form automatically: booking confirmation and deposit receipt emails, and the bookings views in the app your customers use. A visitor opening the link sees no personal details of other customers, and the link stays valid, always reflecting the current balance, until the booking is paid.
Staff can grab the link from the event's participant list in the Staff Site: rows with an outstanding balance show a Complete Payment action, and right-clicking it copies the login-free link to share, as its tooltip explains. Links sent before this release keep working under their old rules.
Requested payments: copy the link
A requested payment on a private event previously existed only inside the email Capitan sent, so if the email went unnoticed, staff had no way to hand the payment page to the customer directly.
The pending requested payment on a private event's Payment tab now has a Copy Link button alongside its existing send and Cancel actions, which copies the same login-free payment link the email carries. The Request Payment step also no longer requires sending an email at all: the recipient dropdown includes Don't Send an Email, for when staff want to create the request and share the link themselves, over text or in person.
New organization setting: Allow offline payments
Some organizations want every payment to run through Capitan or their integrated point of sale, with no way to mark something paid outside them. A new Allow offline payments setting on the Organization Settings page, editable by organization admins, controls this.
With the setting off, the Mark event as paid offline option on private events is removed entirely. Turning it off does not touch offline payments already recorded, which continue to appear on invoices, receipts, and reports. The setting is on by default for existing organizations, so nothing changes unless an admin turns it off.
Fixes
- Deleting a schedule exception on a rolling event left duplicated, unremovable sessions. The exception's sessions were left orphaned alongside the regenerated regular ones and could not be removed from the Staff Site at all. Deleting an exception or a schedule on a rolling event now removes its upcoming sessions and their bookings and restores the regular schedule. A schedule exception that names a specific roster now affects only that roster, instead of suppressing other rosters' sessions on the same dates.
- Seven Members report columns rendered as blank cells. The billing-derived columns, including Last Billed Amount, Last Bill Date, and Last Invoice #, showed values in CSV exports and dashboard tiles but rendered blank on the report page. They now populate on screen.
- The Documents Pending Approval inbox was slow and could fail outright. With a large pending-waiver queue, the section could take many seconds to load and sometimes failed with "Server Error: 0". It now loads in under a second.
- The membership catalog your customers browse ignored display order. Memberships within a category were listed alphabetically instead of following their configured order numbers. The catalog now follows the configured order.
- Guest passes were left behind when merging customers. Merging a duplicate customer moved memberships, waivers, check-ins, and payments to the surviving profile, but not guest passes. They now move with the merge.
- Customer search and the Customers report are faster at large organizations. Barcode scans and phone-number searches at the front desk, and loading pages of the Customers report, ran queries that were slower than necessary at organizations with long customer histories. Both are fixed, with no change in results.
