Capitan Release Notes - August 18
The first version of Associations is live!
An Association is a sub-group of customers within Capitan. Common associations are Schools, Non-Profit Partners and Corporate Partners. Currently, associations may receive different discounts automatically. In future releases, Association Managers can also purchase entry passes and/or memberships for a large group of customers and receive donated entry passes from other customers in your organization.
Types of Associations to consider for your organization:
- Non-Profit/Community Partners
- Scholarship Recipients
- Corporate Partners
- Community Partners
- Schools/Universities
- Friends/Family Groups
Discounts can be applied automatically for sales
When configuring discounts, you now have the option to make them Automatic. If this is set to "Automatic", then the discount will automatically be applied to any qualifying purchases. Automatic discounts may still have a code configured for reporting purposes.
How this can be useful:
- If your organization is having a sale (back to school, opening a new location, holidays, etc.), customers will not need to enter a code to receive the discount.
- Associations can have automatic discounts so Association Members automatically receive the discount for qualifying purchases without having a code they can share to others.
On the Staff Site, staff can set a recurring membership to freeze at any of the next twelve scheduled bill dates.
When you select Edit next to a customer's recurring membership, the Freeze (Future Billing Date) option will let you select which of the next twelve scheduled bill dates you would like the membership to freeze on. This can be undone anytime before the selected bill date on the Staff Site. The membership will be billed normally until it reaches the day it is set to freeze at which point it will be charged the freeze fee (if applicable).
How this can be useful:
- If a customer knows they will need to cancel their membership in the future (moving, pregnant, etc), you can set the membership to freeze in the future.
Proficiency documents can be added directly on a Customer's profile.
On a customer's profile, there is now a "+" in the Document section. This will open a drop down of all Proficiency Document Templates configured for your Organization. When a Document Template is selected, it will open the document with the Customer's First Name, Last Name, Birthday and Email (if applicable) filled out.
How this can be useful:
- Administering proficiency tests where a Staff Member can record a Customer's answers or record which skills were evaluated.
Report: New Memberships Sold
This report shows how many of each Membership Type have been sold in a particular day. Note: For recurring memberships, only the initial purchase will be counted. Refunds will not be accounted for in this report.
Report: New Entry Passes Sold
This report shows how many of each Entry Pass Type have been sold in a particular day. Note: Refunds will not be accounted for in this report.
Report: New Bookings Sold
This report shows how many Bookings of each Event Type have been sold in a particular day. Note: This report does not reflect the number of participants on the Booking (ie a Birthday Party with 15 participants will show up as "1" in the report. Refunds will not be accounted for in this report.
Report Update: Daily Check-ins
The Check-in Report can now be configured into Daily, Weekly, Monthly or Annual Intervals.
