Capitan Release Notes - October 23, 2024
Capitan’s most recent releases introduce powerful new tools to help climbing gyms grow and optimize operations. The Gift Center is a standout feature, enabling customers to gift entry passes or memberships to others with ease—requiring only the recipient’s email and allowing for scheduled delivery dates. This makes it perfect for gifting ahead of holidays and events. Additionally, Capitan now offers more flexible guest pass options, including the ability to bulk-add passes for promotions or rewards. For those tracking marketing efforts, the Meta Pixel integration provides advanced analytics, allowing gyms to better understand the impact of their ad spend. These features, alongside many others, continue to solidify Capitan’s role in helping climbing gyms enhance their community and operational efficiency.

Gift Center Management
To make it easier for customers to give the gift of climbing, there is a new gift center! When enabled, customers are able to give designated entry passes or prepaid memberships to other customers. To send a gift, all the customer needs is the recipient’s email. This is a huge opportunity to grow revenue at your organization around holidays and events.

Guest Pass Updates
As guest passes are a valuable tool to engage members and get new customers into your locations, there are number of new guest pass updates to help you leverage guest passes even more:
- Two Types of Guest Passes per Membership Type - To make it possible to offer more benefits to an organization's members, there is the option to automatically add both styles of guest passes to a membership type: “new customer only” which can only be used by a customer that has no check-ins at the organization and “all customer” which can be used by any customer.
- Membership daily guest pass policy - To offer organizations more flexibility in configuring member benefits, guest passes can not be provisioned on a daily basis. This is particularly helpful for “new customer only” guest passes which can be a great marketing tool for organizations.
- Bulk Add Guest Passes - For more flexibility in using guest passes, organizations can now bulk add guest passes to selected customers accounts. This can be used to thank loyal customers (for example, all customers with over 100 check-ins), holiday promotions and special events.
Bank Transfer Discounts
You can now create an automated discount for recurring members that choose to pay via bank transfer! When configuring the bank transfer discount you can decide which recurring membership types are eligible, and whether the discount is a percentage or flat rate. There are additional terms and conditions options and alerts to explain to your customer how the discount is applied. If a customer changes the payment method in the future to a card, the discount will be automatically removed. Bank transfer discounts stack with any other configured discounts. Please note, it is your organization’s responsibility to ensure bank transfer discounts are allowed in your jurisdiction.
Meta Pixel (Facebook Pixel) events
To better understand the impact of your ad spend on Meta, you can now insert your Meta Pixel onto Capitan to track analytics.
Discount Setting: "Discount only available to customers who have not checked in in X days"
To offer organizations more flexibility in how to re-engage customers, there is a new option to have a discount applied only if a customer has not checked in in X days. This can be used for campaigns to encourage customers to return after an extended time away.
"Waives initiation fees" membership discount setting
To offer organizations more flexibility in the promotions they offer, there is a new option to automatically waive the initiation fee when the discount is applied.
Option to prevent a referral discount from stacking with other discounts
To offer organizations more flexibility when configuring discounts and promotions, you can now disable the ability for a referral discount to stack with other promotions (for example, with a student discount).
Referral discount setting: "Referrer must have active membership"
To make referral discounts a member benefit, you can now require a customer has an active membership to be able to get a referral credit when another customer signs up for a membership.
"Barcode format" setting (Code 128 vs QR)
To provide more flexibility in how customers can scan in at your facility through a barcode scanner, turnstile or door access, you can now opt for QR style barcodes, in addition to the default Code 128 barcodes.
Preferred Name Standardized Field
To make it easier for staff to communicate with customers that may go by a name other than their legal name, there is a new “Preferred Name” standardized field. This field can be used throughout Capitan and displayed on the customer profile.
Referral code profile field
To make it easier for Staff to use customer referral codes, there is now an option to display customer referral codes on the Staff Site customer profile. Staff can then copy and paste this code when a customer is referred by another customer.
Proficiencies expire if customer has not checked in in X months
To give organizations more control over proficiency management, an organization can now have a proficiency expire if the customer has not checked in in a set period of time.
Optional customer alert when proficiency expires due to lack of check-ins
If a customer has a proficiency removed due to lack of check-ins, it can be helpful for staff to be alerted on the customers next check-in so they can discuss it with the customer. You can turn on an automatic alert to ensure staff are notified.
Ancillary Revenue Reporting
It is important to track ancillary revenue at your organization as it is a key lever to grow revenue at your organization. Here are three reports to help you track ancillary revenue in different ways:
- Report: Member Ancillary Revenue (Total by Member) - This report lets you see ancillary revenue by member to understand which members are the biggest drivers of additional revenue.
- Report: Member Ancillary Revenue (Percentages) - This report lets you see how effective you are at getting members to make purchases outside of their membership.
- Report: Member Ancillary Revenue (Totals) - This report helps you see the total ancillary revenue spent across all members.
Report: Membership Referrals Log
Tracking referrals is helpful not only from a high level business perspective, but also to reach out to customers that are referring the most new members.
