Capitan Release Notes - May 1, 2024
Event waiver reminder email
Knowledge Base Article - How to configure an event waiver reminder email
You can now configure waiver reminder emails for each event type, prompting customers to sign a waiver in advance of the event, in order to expedite the process of checking customers into the event.
When configured, an email will be sent when a participant does not have an active waiver on file at the event's location. The email is sent to the participant, the booking customer, and any other customers linked as parents/guardians of the participant. Included in the email is a link to the document template you select, ensuring that the participant signs the appropriate document.
"Bulk add participants" function for events
Knowledge Base Article - How to bulk add participants to events
Participants can now be bulk uploaded to an event, streamlining event management (for example, when you get a list of participants from USAC for a climbing competition, or a school bringing a large group).
Participants can be uploaded to the event in a CSV document and added to their event with just their name and birthday. If a participant does not have a customer account in Capitan, one will be created for them.
Validate/invalidate documents in Staff Site
Knowledge Base Article - How to invalidate a document on Capitan
Staff now have the ability to invalidate a document even after it has been approved. Hovering over a customer's document will reveal the new "Manage" button.
Customer-facing event schedule name
Knowledge Base Article - Climber App event names
When configuring a repeating event type schedule, there is a new option, "Customer Schedule Name". When included, this will display in the Climber App after the event type name to make it easier for participants to book the appropriate event.
For example, you could have a "Strength & Conditioning" event type and have one schedule named "Cardio Blast" and another as "Trail Fit". This will appear in the Climber App as "Strength & Conditioning - Cardio Blast" and "Strength and Conditioning - Trail Fit".
Customer-facing occurrence name
Knowledge Base Article - Climber App event names
When configuring a one-off/multi-part event type occurrence, there is a new option, "Customer Occurrence Name". When included, this will display in the Climber App after the Event Type name to make it easier for participants to book the appropriate event.
For example, you could have a "Youth Squad" event type and have one occurrence named "A Team" and another as "B Team". This will appear in the Climber App as "Youth Squad - A Team" and "Youth Squad - B Team" in the Climber App.
This option is also available for private events.
Document template setting: Can be used for scanner check-in
A new document template setting is now available: "Can be used for check-in via the Check-In Site (barcode scanner)". When this is disabled, the document only counts as an active waiver/AoR when the customer is checked in manually by staff via the Staff Site. This setting can be used to ensure that staff are able to perform manual checks as needed when certain customers check-in, such as checking that a supervisor is present for a supervised climber.
Option to remove an Association
There is a new option to remove an association from your Organization's Capitan account. When this is done, all customers in the association will be removed along with any discounts they received from the association.
"No refund" selected by default when cancelling a prepaid or recurring membership
To reduce the risk of accidental refunds, we have changed the default behavior when cancelling a membership via the Staff Site. The same options are available, but now "No refund" is selected by default, rather than "Refund last billed amount". After a membership is cancelled without refund, you can always go to the payment directly and make a full or partial refund at a later date.
